Connect your calendar to your AI Receptionist
Your receptionist checks your real availability and books callers straight into your calendar — no double bookings, no callbacks. This takes about five minutes and you only do it once.
What you'll do
Create your free account and connect your calendar
Cal.com is the scheduling tool that sits between your receptionist and your calendar. It reads your free/busy times and writes new bookings — it never changes anything you already have on there.
Go to cal.com/signup and register with your work email — the same one your calendar lives on.
Once you're logged in, click Apps in the left-hand menu, then choose the Calendar category.
Find your calendar provider — Google Calendar, Outlook Calendar, or Apple Calendar — and click Install (on some screens this button says Connect).
Sign in with your calendar account when prompted and click Allow / Continue so Cal.com can see your availability and add bookings.
Apps → Calendar. Click Apps in the left menu (1), then Install next to the calendar you actually use (2).
Grant access. Tick every box that's offered and click Allow — your receptionist can't see openings without it.
Using the right calendar matters. Connect the calendar you actually check for appointments. If bookings normally land on a shared “front desk” calendar, connect that one.
Use booking, scheduling, or client-management software?
Most of these systems can push your appointments to a Google Calendar (sometimes called “calendar sync” or “Google Calendar integration” in their settings). Turn that on first, then connect that same Google account here. That way your receptionist sees your real appointments and never double-books. The exact steps are in your software’s own help center — search its name plus “Google Calendar sync.” If your system can’t sync out, connect any Google Calendar and tell us; we’ll set the receptionist to collect booking requests instead.
Create an event type and copy its ID
An “event type” is simply the kind of appointment your receptionist is allowed to book — how long it is and when it's available. We'll set the rules; you just need to create it and tell us its ID number.
Click Event Types in the left menu, then the + New button in the top-right corner.
Fill in the form: Title → AI Phone Booking (or your service name, e.g. “30-Min Phone Consultation”). Duration → your usual appointment length; 30 minutes is a safe default. Then click Continue / Save.
You'll land on the event's settings page. Look at the address bar at the very top of your browser.
The number at the end of the web address is your Event Type ID. Copy it and keep it handy for Step 4.
Event Types → + New. The new event appears in this list once you save it.
Your Event Type ID. It's the run of digits right after /event-types/. In this example the ID is 891234 — yours will be different.
Only the numbers. If your address ends with ?tabName=setup or similar, ignore that part. We just need the number itself.
Generate your security key
An API key is a long code that lets your receptionist talk to your Cal.com account — and nothing else. Think of it as a spare key that only opens the calendar door.
Click Settings (the gear icon at the bottom of the left menu).
In the settings menu, scroll to Developer and click API keys.
Click + New (this button may say + Add).
Fill in the form: Name → AI Receptionist. Never expires → switch this on (if the key expires, your receptionist silently loses access to your calendar on that date). Then click Create / Save.
Click Copy and paste the key somewhere safe right away — a note on your phone or a draft email to yourself works.
Settings → Developer → API keys. Open API keys (1), then click + New (2).
Never expires → Create → Copy. Switch on Never expires (1), create the key, then click Copy (2) before closing the window.
Cal.com shows this key once. If you close the window before copying it, no problem — just delete that key and create a new one the same way. Never post the key in a public place or send it over social media DMs.
Send us both details
You now have the two things we need to link your receptionist to your calendar. Paste them into our secure intake form and you're done.
Submit your calendar details
Everything is stored encrypted and used only to connect your receptionist. You'll get a confirmation the moment we receive it.
What happens next
We connect your live calendar to your receptionist — usually the same business day.
We place a test call and book a sample appointment so you can see it land on your calendar.
We confirm by email that live booking is active. That's it — your receptionist starts filling your calendar.
